QRG - Upload transaction spreadsheet (UPDOCS)

Introduction
Similar to the current process of using Spreadsheet Upload (SSLD) to upload documents from a spreadsheet into FINET, users with appropriate security will use the Upload Transaction Spreadsheet (UPDOCS) page to bulk upload transactions via spreadsheets into FINET. These uploads create one or more transactions in FINET using the populated fields within the spreadsheet template.

Pre-configured templates
Spreadsheet templates exist for several transactions. These templates are streamlined to include required and commonly entered data for the transaction. To view the available templates, navigate to the UPDOCS page, click the 3-dot menu on the top right, and click Transaction Upload Template. On the Transaction Upload Template page, click the Template File Name link to download an existing template.

How to prepare the spreadsheet template for upload
  1. Populate the template with the transaction information. Review the spreadsheet to confirm all required fields are populated and the data is accurate.
  2. For each unique transaction, specify a sequential number starting at one and copy that number for all lines (rows) for that transaction. For subsequent transactions, increment this number by one.
Tips for populating the spreadsheet template
  1. FINET templates use a hierarchy of vendor and accounting lines allowing for multiple vendor lines or multiple accounting lines on the transactions.
  2. The first column, Spreadsheet Transaction ID is used to associate each row to a single transaction.
  3. Auto Numbering and Prefixes can also be used with templates. The field is included in the templates but is not required. 
Upload the populated spreadsheet
  1. In the Search field, enter UPDOCS.
  2. From the results list, click Upload Transaction Spreadsheet (Financial).
  3. Click the 3-dot menu and then click Upload Spreadsheet to upload a completed template spreadsheet.
  4. On the Upload Spreadsheet page, in the Transaction Code field, enter the Transaction Code for the template that is being uploaded.
  5. Click the Submit Transaction checkbox to submit the transactions after they are created. (Note: If this is not selected, documents will submit in draft phase and will require manual Submit)
  6. Click Apply Overrides to apply overrides to the transactions, if needed.  (Note: Bypass Automatic Numbering and Bypass Approval are not available.
  7. Click Upload. The Upload file has now been queued for processing successfully. Click Cancel to return to the Upload Transaction Spreadsheet page. 
  8. On your record, click the 3-dot menu. hover on Related Pages, and click View Logs to check the upload status.
  9. On the Spreadsheet Upload Log, review the status at the top of the page. 
  10. Scroll down to review the individual transactions. 
  11. Click the Transaction ID link to open rejected transactions to correct and submit.
                  (Note: You will need to submit transactions if they were created in draft status.)
