Purchase Order Roll

At the end of the fiscal year there may be valid purchase orders for which departments have not received the ordered items. The Division of Finance provides a process for automatically moving (rolling) those purchase orders and the associated encumbrances to the "New" fiscal year. Purchase orders not identified for this process will be cancelled (lapsed) as part of the year end close.

 Process

  1. The Division of Finance runs a job that populates the RLPSS (Roll/Lapse Summary Pre-Selection) table with the current, old year outstanding purchase orders.
  2. Users access the RLPSS (Roll/Lapse Summary Pre-Selection) table and highlight the purchase order they want rolled to the new year.
    1. In the Vantage Financial search bar, type in RLPSS.  It will bring up the Roll/Lapse Summary Pre-Selection table
    2. Enter search criteria
    3. Choose the document you want to roll by checking the box on the appropriate line
  3. Select Approve Selected Document for Roll
    1. You find this step in the 3-dot menu on the right side on the dark blue line... select related actions... there is a list of 5 actions to choose from
  4. Repeat steps 2 and 3, as needed.
  5. Each weeknight the Division of Finance runs a job to close out the purchase orders marked for roll and create corresponding new year purchase orders. A second job removes the rolled purchase orders from the table.
